Create a PowerPoint Presentation and Work with Slides on Windows

Start a blank PowerPoint presentation on Windows, add a title slide and a title-and-content slide, place a picture, write notes, run the show, save PPTX, and export a PDF.

PowerPoint on Windows is the desktop program for a slide deck: a title, more slides, a picture, speaker notes, a full-screen show, a PPTX you can edit later, and a PDF for people who only need to read or print. This page follows that path in the installed app. It is not a Word article with the headings renamed, and it does not try to cover every animation pane.

The catalog page is Microsoft PowerPoint for Windows. Softcoria does not host the installer. Microsoft 365 desktop apps are installed from a Microsoft account. Confirm the page before you run setup, the same way How to Safely Download and Install Software on Windows describes for any other desktop program.

Desktop PowerPoint and PowerPoint for the web

Microsoft’s PowerPoint page describes both the installed app and PowerPoint for the web. The web app opens in a browser. Files usually live in OneDrive, and the tool set is smaller. The desktop app is the program on the Start menu. It can save a PPTX on the PC, run a full-screen slide show, keep speaker notes, and export a PDF with the dialogs below.

A deck you started in the browser can be opened in the desktop app when that app is installed. Use Open in Desktop App from the web editor when you need the picture, notes, and show steps on this page. Editing a few text slides in the browser is enough for a rough draft. Do not expect every desktop command to exist there. The labels below are the English desktop interface. On a translated install, the same commands sit in the same tabs.

What Microsoft publishes for Microsoft 365

These figures are the hardware list on Microsoft’s system requirements for Microsoft 365 for home use, not a guess about a comfortable editing PC. The product page for PowerPoint points at the same Microsoft 365 apps.

WindowsWindows 11 Processor1.6 GHz, 2 cores Memory4 GB of RAM, or 2 GB on 32-bit Windows Disk4 GB Display1280×768 GraphicsDirectX 9

The 4 GB disk line is the published room for the apps, not the size of your deck. A PPTX with pictures, and especially one with an embedded video, needs more free space for the file itself. The 2 GB RAM line applies when Windows is 32-bit. Check System type before you assume you are on the 4 GB line. x64 vs x86 vs ARM64 Windows shows where that line is.

Windows 10 reached end of support on October 14, 2025. Microsoft’s published position for Microsoft 365 on Windows 10 is narrower than a normal supported PC: security updates continue until October 10, 2028, and new Microsoft 365 features are not added on Windows 10. A PC that still runs Windows 10 can open a deck during that security-update window. It is not the Windows version named in the hardware list above, and it will not pick up new PowerPoint features.

Start a blank presentation and fill the title slide

Open the desktop app. Choose File, New, Blank Presentation. The start screen also offers a Blank Presentation thumbnail. Either path gives you one slide. That first slide uses the Title Slide layout: a title placeholder and a subtitle placeholder, each with the prompt “Click to add title” or “Click to add subtitle” until you type.

  1. Click the title placeholder and type the title of the talk. Do not leave the prompt text in place. If you click once and the prompt disappears, you are in the placeholder. Type.
  2. Click the subtitle placeholder and type a second line: your name, the date, or the room. A subtitle can stay empty if you truly have nothing to put there. Delete leftover prompt text rather than presenting it.
  3. Click a blank part of the slide, or press Esc, so you leave the placeholder. The thumbnail on the left should show your title, not the grey prompt.

If the first slide is not a title slide, use Home, Layout, and choose Title Slide while that thumbnail is selected. Layout changes the placeholders on the current slide. It does not add a new slide.

Add a slide and use Title and Content

The reliable way to pick a layout is the arrow under Home, New Slide, not only the top half of the button. Choose Title and Content. Ctrl+M adds a slide too, using whatever layout PowerPoint treats as the current default. After a title slide that default is often Title and Content, but the menu is the one that names the layout. You should see a title placeholder and a large content placeholder. The content box shows a row of insert icons and the words “Click to add text”.

  1. Click the title and type a short heading for this one idea. One slide, one idea, is enough for a first deck.
  2. Click inside the content area, not on an icon, and type the first bullet. Press Enter for the next bullet. Three short lines are plenty.
  3. Press Tab to indent a bullet under the one above it. Press Shift+Tab to bring it back out. If the text shrinks to fit, you have typed too much for the box. Cut a line rather than fighting the autofit.

The left pane lists slide thumbnails. Drag a thumbnail up or down to reorder. Right-click a thumbnail and choose Duplicate Slide when the next slide should start as a copy. Select a thumbnail and press Delete to remove that slide. View, Normal brings back the editing view if you have switched away. View, Slide Sorter shows only thumbnails when you are rearranging a longer deck. None of that requires a design pane.

Put one picture on the slide

Use a picture you already have on the PC, a PNG or JPG of something you can show. Two paths land in the same place:

  • Click the Pictures icon inside the content placeholder.
  • Or use Insert, Pictures, This Device, which works even if you did not use the icon.

Choose the file and insert it. Drag a corner handle to resize. A corner keeps the picture from stretching. Drag the middle of the picture to move it. If it covers the bullets, make it smaller and park it to one side, or put the picture on its own later slide with the same New Slide menu. Do not stack a second picture “to fill the white.” One picture you can see is the point of this step.

Online pictures and stock images are a different insert path and need a connection. This Device uses a file that is already on the disk. If the picture looks soft, it was a small file stretched large. Replace it with a larger file rather than scaling a thumbnail up.

Write presenter notes

Notes are the speaker script. They are not a fourth bullet on the slide. Use View, Notes, or the Notes button on the status bar. A pane opens under the slide with “Click to add notes.” Click it and write the sentence you actually want to say. Two or three sentences are enough. The audience does not see this pane during a normal full-screen show.

Presenter View is the screen that shows you the notes while the projector shows the slide. Start it from Slide Show, Presenter View, or with Alt+F5. On one monitor, Presenter View replaces the full-screen audience view on that same screen, so use it for rehearsal. With a second display, PowerPoint can keep the notes on the laptop and the slide on the projector. If you only wanted a full-screen rehearsal without notes, use the next section instead and leave Presenter View off.

Run the show from the beginning

Click Slide Show, From Beginning, or press F5. The first slide fills the screen. Advance with a click, Space, Enter, or the Right arrow. The Left arrow goes back. Esc leaves the show and returns to the editing view. You should land on the slide you were showing, so you can fix a word and press F5 again.

From Beginning always starts at slide 1. Slide Show, From Current Slide, or Shift+F5, starts on the thumbnail you had selected. Use that when you are checking only the picture slide. B blacks the screen and W turns it white during a show. Esc still exits. Those two keys are optional. The required path is From Beginning, walk through both slides, then Esc.

Save the PPTX

Press Ctrl+S. The first save asks for a folder and a name. Choose PowerPoint Presentation (*.pptx) if a file-type list is showing. Put the file in a folder you control, such as Documents, not in a temporary download folder. PPTX is the file you keep editing. Saving does not create the PDF.

If you later use Save As, leave the type on PPTX unless you have a reason to write an older format. The notes, the picture, and the slide order are part of this file. Closing without saving drops whatever you typed after the last save.

Export a PDF

A PDF is a copy for reading or printing. Keep the PPTX. Two desktop paths write the PDF:

  • File, Export, Create PDF/XPS, then Create PDF/XPS. Choose a folder and a name.
  • File, Save As, and set the type to PDF.

Open the options if you see them before the final save. The ordinary choice publishes the slides. Notes pages and handouts are separate choices in that options list. If the PDF has no speaker script, you published slides only, which is what you want for an audience handout of the deck. Publish notes pages only when someone needs the script on paper. Then go back to the PPTX to keep editing. Changing the PDF does not change the presentation.

Design Ideas are optional and need Microsoft 365

The Design tab can show Design Ideas: suggested layouts for the slide you are on. Treat them as optional suggestions. They need a signed-in Microsoft 365 connection, so they do not appear when that connected experience is unavailable. If the pane opens, look, and close it when you would rather keep the title, the three bullets, and the picture where you put them. Applying a suggestion is one click, and Ctrl+Z takes it back. A missing Design Ideas button does not mean the deck is broken. The slide show does not depend on it.

Fonts, video, and the view that is not a show

  • Fonts replaced on another PC. PowerPoint draws the text with a font that is installed on that computer. If the font is missing, it substitutes another, and line breaks move. Aptos is a common Microsoft 365 default and is easy to lack on a PC that does not have it. Arial, Calibri, and Times New Roman travel more quietly because Windows has carried them for years. To carry a font with the file, use File, Options, Save, and turn on Embed fonts in the file. You can embed only the characters you used, which is enough for showing the deck, or all characters, which is what you want if the other PC will edit the text. Some fonts refuse to embed. The PPTX gets larger either way. Embed, save, and then open the same file on the other PC before the day of the talk.
  • A video that does not play because it was linked. Insert, Video, This Device opens a file dialog. Insert stores the video inside the PPTX. The arrow beside Insert can offer Link to File, which leaves the video on disk and stores only a pointer. Online video is a third path and needs the network at playback. If the clip plays on the PC where you built the deck and fails after you copy only the PPTX, it was linked. On the original PC, remove that video object, insert the file again with Insert so it is embedded, save, and copy the larger PPTX. If an embedded clip still fails on the other PC, File, Info includes media tools such as Optimize Media Compatibility. That is a compatibility pass, not a promise that every codec will play.
  • Reading View is not Slide Show. View, Reading View plays the slides inside the PowerPoint window, with the window frame still there. It is a way to read the deck at your desk. Slide Show, From Beginning, is the full-screen presentation. If you meant to present and you still see the PowerPoint frame, you are in Reading View. Press Esc and use F5. Notes you typed in the notes pane are not a Reading View feature. They show in the notes pane while you edit, and in Presenter View when you present with that view turned on.

Reorder a slide in the thumbnail pane, run From Beginning once more, and save the PPTX again after any fix. Export the PDF again if you changed a slide after the last export. The PDF will not pick up the edit on its own.

FAQ

Is PowerPoint for the web the same as the desktop app?

No. PowerPoint for the web runs in the browser and usually keeps the file in OneDrive. The desktop app is the installed program used for the title slide, picture, notes, full-screen show, PPTX, and PDF steps on this page.

Which Windows version do these Microsoft 365 figures describe?

Microsoft’s published hardware list for Microsoft 365 home use names Windows 11, a 1.6 GHz two-core processor, 4 GB of RAM (2 GB on 32-bit), 4 GB of disk, 1280x768, and DirectX 9. Windows 10 itself reached end of support on October 14, 2025.

Do I have to use Design Ideas?

No. Design Ideas are optional layout suggestions. They need a signed-in Microsoft 365 connection. Close the pane and build the slide yourself if they do not appear or you do not want them.

Why do fonts change on another PC?

PowerPoint substitutes a font the other PC does not have, and the line breaks can move. Embed the fonts from File, Options, Save, when the font allows it, or pick a font both computers already have.

Why does a video play here and fail on another PC?

A linked video still points at a file on the original disk. Copying only the PPTX leaves that file behind. Insert the video from this device so it is stored in the presentation, then save and copy the larger PPTX.

What is the difference between Reading View and Slide Show?

Reading View plays the slides inside the PowerPoint window. Slide Show from the beginning, or F5, is the full-screen presentation. Reading View is for reading at the desk, not for a projector.
